Role Overview:

Black Digital is seeking a Creative Operations Manager to lead the day-to-day operations of our creative production studio.

This role will manage creative workflows, timelines, assignments, freelancers, QA systems, and production processes across social media, content, graphic design, and video. The ideal candidate is highly organized, process-oriented, client-ready, and has a strong eye for design and content quality.

This is not primarily a hands-on design role. We are looking for someone who can build scalable systems, assign work based on team strengths, improve accountability, and help ensure client deliverables are completed on time, within budget, and at a high standard.

Key Responsibilities:

  • Manage creative production across social media, content, design, and video.
  • Build and improve systems for intake, briefs, timelines, assignments, reviews, revisions, approvals, and final delivery.
  • Manage a distributed creative team that includes internal staff, freelance graphic designers, content support, and video editors.
  • Assign work based on team strengths, skill level, availability, client familiarity, budget, and project needs.
  • Create scalable QA systems so quality control happens throughout the production process, not only at final review.
  • Coach team members and freelancers on quality standards, ownership, communication, and self-review.
  • Review high-priority deliverables for brand alignment, accuracy, quality, and completeness.
  • Collaborate with account leads, strategists, designers, writers, social media staff, video editors, and leadership.
  • Join client calls when needed to clarify feedback, discuss timelines, or support creative delivery.
  • Track deadlines, priorities, capacity, project status, risks, and production bottlenecks.
  • Recommend process improvements, staffing changes, or resource shifts when needed.
  • Help maintain organized files, templates, creative assets, and project documentation.

Required Qualifications:

  • 5+ years of experience in creative operations, creative project management, production management, creative services, or a similar role.
  • Experience managing creative teams, freelancers, contractors, or cross-functional production teams.
  • Strong project management, organizational, and communication skills.
  • Experience in an agency, marketing, communications, media, or fast-paced client-service environment.
  • Strong eye for design, content quality, brand consistency, and client-ready creative work.
  • Ability to manage multiple projects, deadlines, clients, and contributors at once.
  • Comfortable giving feedback, holding contributors accountable, and improving team performance.
  • Experience with tools such as Monday.com, Asana, ClickUp, Google Workspace, Slack, or similar platforms.

Preferred Qualifications:

  • Experience managing social media, graphic design, content, and video workflows.
  • Experience building or improving creative operations systems.
  • Experience with remote, distributed, or freelance-heavy teams.
  • Familiarity with digital marketing, paid social, email marketing, websites, or nonprofit/mission-driven communications.
  • Basic understanding of Adobe Creative Suite, Canva, Figma, or similar tools.

What Success Looks Like:

Success in this role means creative work moves smoothly from request to delivery. Team members and freelancers understand expectations, deadlines are clear, work is assigned based on strengths, QA happens throughout the process, and leadership has better visibility into capacity, risks, and production needs.

This role serves as the bridge between clients, designers, developers, content teams, and the business development team. Key Responsibilities:

  • Manage website project timelines, milestones, task assignments, and deliverables.
  • Track project progress in Monday.com and keep internal teams aligned.
  • Serve as the primary client contact for web projects.
  • Lead kickoff meetings, status calls, project reviews, and launch check-ins.

  • Manage feedback cycles, approvals, risks, blockers, and scope changes.
  • Review website builds for alignment with approved designs, functionality, and client requirements.
  • Oversee WordPress and Elementor-based projects to ensure quality, usability, performance, and maintainability.
  • Coordinate QA, bug tracking, staging-to-production deployments, and launch readiness.
  • Support the business development team with technical discovery, solution recommendations, scopes of work, timelines, and estimates.
  • Identify potential web solutions, tools, integrations, maintenance needs, and platform improvements for clients.

Required Skills:

  • 5+ years of project management experience.
  • Experience managing WordPress website projects.
  • Strong understanding of Elementor-based builds.
  • Experience with Monday.com, BugHerd, Google Workspace, and Slack.
  • Strong communication, organization, and follow-through.
  • Ability to manage multiple projects, deadlines, and stakeholders.
  • Ability to explain technical concepts clearly to clients and internal teams.

Preferred Skills:

  • Digital agency experience.
  • Familiarity with WordPress development workflows, hosting, plugins, integrations, QA, accessibility, SEO, performance, and website security.
  • Experience managing remote or distributed teams.
  • Experience supporting proposals, discovery calls, estimates, or technical scopes of work.

Ideal Candidate:

The ideal candidate is proactive, organized, technically fluent, and comfortable managing both people and process. They do not need to be the primary developer, but they should understand WordPress, Elementor, QA, hosting, integrations, and launch workflows well enough to guide projects, identify risks, and recommend practical solutions.
